Cancelling a live music event

What to do if you need to cancel a music eventFrom time to time when planning events things just don’t go to plan. Often there are huge financial implications if an event needs to be cancelled and people who have booked bands through entertainment agents can panic.

You will probably have signed a contract with the agent ( you should have! ) which will clearly state the terms of cancelling. These fees are commonplace and simply ensure a fair deal for everyone. The good news is you probably won’t find yourself having to fork out the entire fee…as long as you aren’t too close to the event when you cancel. These cancellation clauses are written into contracts usually with a higher fee payable the closer you are to the event when the cancellation is made. This is the case because the likelihood of the band being able to find another gig are slimmer if they have less time available to do so.

You may be fortunate enough to realise that things aren’t going to plan early on in which case you may find yourself not having to pay any fee at all! The earlier you can make decisions about whether or not the event is going to run the better for all involved. Be sure to check the terms of the contract though as the terms can vary greatly.

If you haven’t signed a contract then you probably won’t have to pay at all. However any reputable agent will insist on a performance contract. Especially those representing professional wedding bands, tribute bands and function bands.

If you think you may come into difficulties then speak to the agent. More often than not they can offer advice and guidance and will have worked with clients in the same situation before. They may even be able to offer a solution that means the event can in fact go ahead. Of course there are always times when the event simply has to be cancelled which is why contract are important to make sure all parties are treated fairly. Just remember to read the contract thoroughly before you initially sign it to make sure you are happy with all the terms.
